How to Add a Watermark in Word, Excel and PDFs

Watermarking is four different features in four different places, and the Word one is where most of the questions land. If the document is already a PDF, adding a watermark to it is a browser job with the opacity and angle under your control — and worth doing there rather than going back to the source.

Adding a watermark in Word

On Windows it is Design → Watermark. On the Mac it is Insert → Watermark. Both open a gallery of presets — CONFIDENTIAL, DRAFT, DO NOT COPY, SAMPLE, URGENT — and a Custom Watermark option for your own wording.

In the custom dialog you set the text, font, size, colour, and whether it runs diagonally or horizontally. There is a Semitransparent checkbox that is on by default and should stay on: a solid watermark makes the body text genuinely hard to read.

A Word watermark lives in the header layer, which is why it appears on every page automatically and why you cannot select it by clicking on the page. It also survives an export to PDF, so if the document is going out as a PDF anyway, doing it once in Word is less work than adding it afterwards.

For a draft watermark specifically, the DRAFT preset is exactly right and takes two clicks. Diagonal, semitransparent, and unmistakable at a glance, which is the whole job.

Using a logo as the watermark

In the same Custom Watermark dialog, choose Picture watermark and select the file. The Washout checkbox lightens it so body text stays readable, and should normally stay ticked — an un-washed logo behind text is close to unreadable.

Two practical notes. Use a PNG with a transparent background: a logo on a white rectangle shows the rectangle. And Word scales the image to fit the page, so a small logo will be enlarged and may look soft — start with something at least a thousand pixels wide.

In Excel

Excel has no watermark feature. What it has is a header image, which is the standard substitute and only appears in print and in Page Layout view — not in the normal grid view, which is why people conclude it did not work.

Insert → Header & Footer, click into a header section, then Picture, and insert your image. Use Format Picture in the same tab to scale it and to set the washout. Switch to View → Page Layout to see the result, because in Normal view it is invisible.

For a proper watermark across a spreadsheet that will be shared as a document, exporting to PDF and watermarking that gives a better result with much less fighting.

Removing a watermark that will not go

In Word: Design → Watermark → Remove Watermark. If it does not disappear, the watermark was not added as a watermark — someone put a text box or an image into the header manually. Double-click into the header area to enter it, click the object, and delete it. That accounts for nearly every "the remove option does nothing" case.

The other cause is section breaks: a document with several sections can carry a watermark in one section's header and not another's, so removing it from the page you are looking at leaves it elsewhere. Check each section's header.

In a PDF it depends how the mark was added. If it exists as its own object — an annotation, a layer, or text repeated on every page — it can be removed cleanly. If it was flattened into the page, it is the same pixels as the content around it and no honest tool can take it out without inventing what was underneath.

Watermarking a PDF

Add the watermark here and set the text, size, opacity, colour and angle. Diagonal at 15 to 30% opacity is the working default: dark enough to read at a glance, light enough that the text underneath still scans. Above about 40% the document becomes tiring; below 10% nobody notices it.

It applies across every page in one pass. To mark only a section, split those pages out, watermark them, and merge the document back together.

One use worth knowing: setting the watermark text to a recipient's name makes a leaked copy traceable to whoever it was issued to, which changes behaviour in a way "CONFIDENTIAL" alone does not. Since nothing is uploaded, producing one individually marked file per recipient is quick.

Watermarking photographs

Photographs are a different problem: a mark for a photo needs to survive cropping and screenshotting, which means placing it where it cannot simply be cut off — across the subject rather than in a corner — and accepting that it will be visible.

It is worth being straight about the limit. A watermark deters casual reuse and it does not prevent redistribution; anyone determined can crop, clone or edit it out. It marks ownership rather than enforcing it. For a document where the requirement is that the wrong person cannot read it, a password is the control that actually works, and for specific values that must not be readable, redaction removes them rather than covering them.
